Most businesses under about $5 million in revenue don't need an app. They need the three or four things that eat the owner's evenings to stop eating them. Here's how to tell whether a custom tool is the fix.
1. Someone re-types the same information twice
From the form into the spreadsheet. From the spreadsheet into the invoice. From the email into the CRM. Every re-type is a job a tool can do in seconds, with fewer mistakes.
2. You answer the same question every week
"What's our price on that?" "How do I handle a return?" "Where's the form for..." If the answer lives in a document or in your head, a tool can answer it from that document so you don't have to.
3. You've considered a hire for a job that's mostly checklist
If the job description is a list of steps rather than a list of judgments, start with a tool. You can always hire later, and you'll hire for a better job.
4. Your software almost fits
You pay for a platform and use 20% of it, plus a spreadsheet to cover what it can't do. The spreadsheet is the real system. A custom tool replaces the spreadsheet, not the platform.
5. You know the numbers you check every Monday
If you already know which five figures matter, a one-page tool that pulls them together is cheap to build and used every single week.
Two signs you should wait
If your process changes every month, write it down first; you can't automate a moving target. And if the real problem is a person who isn't doing the job, a tool won't fix that either.
