Off-the-shelf vs. custom: the real cost of software that almost fits

By Jonathan Cole, founder. .

Nobody plans to pay for seven subscriptions. It happens one "just $49 a month" at a time. Add the spreadsheet that connects them and the person who maintains the spreadsheet, and the cheap option isn't cheap.

What "almost fits" costs

  • The subscriptions themselves. Five tools at $50 to $200 a month is $3,000 to $12,000 a year, forever.
  • The glue. Someone copies data between them. At even five hours a week, that's roughly $9,000 a year of a $35-an-hour employee's time.
  • The workarounds. Features you pay for but don't use, and features you need that live in a spreadsheet instead.
  • The training tax. Every new hire learns seven logins and your private system for connecting them.

When off-the-shelf is still right

Accounting, payroll, payment processing and email: use the big platforms. They're regulated, battle-tested, and not worth rebuilding. The same goes for anything your industry requires a certified system for.

When custom wins

Custom wins in the gaps between those platforms: the quote that pulls from your price list, the follow-up that goes out after every job, the report that combines three systems into one page. These are small, specific and yours. They cost a one-time fee and nothing a month, and they do exactly what your business does.

The honest comparison

A Bench Labs build is a one-time $5,000 for up to three tools, training and a month of fixes. Measured against subscriptions plus the hours spent working around them, most businesses are ahead inside the first year, and far ahead by the third.
